2. What Octyne does

Octyne helps businesses create and manage branded QR codes, short links, gift card pages, referral pages, review requests, vouchers, welcome messages, customer contacts and analytics.

3. Data we collect

  • Account data: name, email, password/authentication data and business details.
  • Trial request data: full name, email, phone, business description and website.
  • Business content: QR codes, short links, destination URLs, campaigns, logos, brand settings, gift card pages, vouchers, review links and referral pages.
  • Customer/contact data: customer names, email addresses, phone numbers, consent status, enquiry details, referral submissions, gift card orders and campaign interactions where entered by you or your customers.
  • Analytics data: scan/click timestamps, campaign source, UTM parameters, device type, browser, approximate location, referrer and event metadata.
  • Support data: messages, feedback, feature requests and support enquiries.
  • Technical data: logs, security events and usage data needed to operate and protect the service.

4. How we use data

  • To provide the Octyne platform and user dashboard.
  • To create and route QR codes, links, referral pages, gift card pages, review requests and campaigns.
  • To provide analytics, reporting and campaign performance insights.
  • To process trial access requests and manage customer accounts.
  • To send service emails, notifications, support replies and account messages.
  • To detect abuse, protect security and improve the platform.
  • To meet legal, tax, accounting and regulatory obligations.

5. Lawful bases

  • Contract: to provide the service you request and manage your account.
  • Legitimate interests: to secure, improve and operate Octyne, prevent abuse, and understand platform performance.
  • Consent: for optional marketing, non-essential cookies, or where a customer opts in to receive communications.
  • Legal obligation: where we must keep records or comply with law.

6. Customers of Octyne users

If you interact with an Octyne-powered page created by a business, that business may also be a controller of your data. Octyne processes information to provide the service to that business. The business is responsible for explaining how it uses customer data in its own privacy notice.

7. International users

Octyne may be used by businesses and customers in the UK, India, the United States and other countries. Where personal data is transferred internationally, we use appropriate safeguards such as adequacy regulations, contractual protections, or UK international data transfer terms where required.

8. Sharing data

We use trusted service providers for hosting, database, authentication, email delivery, analytics, payments and operational support. They may only process data for the purposes of providing services to us. We do not sell personal data.

9. Retention

We keep account data while your account is active. Campaign, scan, click, referral and order data is retained while needed to provide analytics and records to your business, unless deleted earlier. Support records are usually kept for up to 24 months. Some data may be retained longer where required for legal, tax, accounting, dispute or security purposes.

10. Your rights

Depending on your location and applicable law, you may have rights to access, correct, delete, restrict, object to processing, request portability or withdraw consent. UK users may complain to the ICO at ico.org.uk.

11. Security

We use security measures including authentication, access controls, TLS, database policies and operational monitoring. No online system is completely secure, but we work to protect data responsibly.

12. Changes

We may update this notice as Octyne develops. Material changes may be highlighted in the app or by email.
